As part of the legal requirements, all trade stands and exhibitors must submit a Risk Assessment Form as part of their application.
Using the guidelines below, please look at the possible risks that could affect you as a stallholder and your staff as well as the members of the public. Please outline how you can overcome and minimise the risk on the assessment form. Please complete the form and submitted with your booking form and a copy of your Insurance certificate.
Potential Hazard – Please look at hazards that could potentially cause considerable harm around your workplace. Examples; Look at your stand and space – are there any moving parts or machinery; are cables and electric safe; are there are chemicals or fumes that could be at risk, list risks such as tripping or areas that are slippery.
Who might be at risk? Mainly staff and members of the public. Please ensure that your staff are fully aware of the potential risks and how to deal with them. Anyone working along must be fully assessed as to their ability to ensure that the stand and any machinery are fully checked and that they have made sure that the risk elements are controlled.
How to control the risk? Every stallholder is responsible for its own stand/space and the staff it employees over the show period. The stallholder – the named business – must have all the legal requirements including any certificates that the acting inspector from the council would expect to see on overseeing a site visit. The business must ensure that it has provided training and first aid and precautions to control any situation. Reducing the risk element as much as possible is representing good practice and failure to implement a safe policy will result in legal action.
All shows are a non-smoking zone and all stallholders/traders are responsible for any literature or promotional banners that may be inappropriate for viewing at shows aimed at young children or adults and not to display or promote anything that is unsuitable for children under the age of sixteen. The organisers reserve the right to remove or dismantle any part of the display at their discretion.
All applications will be considered on a first come, first serve basis with priority given to stands that are environmentally friendly or raise funds for charities as part of their own commitment. Please see the website for more information. You will be notified of your successful application, whereby any remaining balance will be due plus a copy of your Public Liability Insurance and Risk Assessment Form will need to be submitted and you will receive a receipt invoice including any extras that have been requested on your application. One trestle table and two chairs are provided indoors but outside space will incur a charge of £25.00 + VAT. Please ensure that you book all your requirements before submitting your booking request. Payment must be made within 48 hours or the booking form will be cancelled.
By making a booking with Red Hot Media, Marketing & Events Ltd, you accept and agree to the relevant cancellation and no-show policy that we promote as a company. The general cancellation and no-show policy is part of the booking process in accepting and submitting a booking form in respect of one or more of our events. Please note that our bookings required payment in advance to secure the booking and which requires full payment or (wholly or partly) prepayment may be cancelled (without a prior notice of default or warning) insofar the relevant (remaining) amount(s) cannot be collected in full on the relevant payment dates as stated and in accordance with the relevant payment policy. Cancellation and prepayment policies may vary according to the notice period issued by us, as the organisers. Please carefully read our policy that we aim to offer a refund or a transfer to another show date if you cancel the request within 48 hours. However, we ask that all cancellations must be submitted in writing as we make every effort to accommodate all the bookings that we receive and appreciate that the person booking and submitting the request may have misunderstood the process but we must clearly request that the person applying understands what he/she is submitting in respect of an application to attend as an exhibitor or stallholder and that payment will be made as stated. Bookings will not be entitled to any refund of any (non-refundable) prepaid amount unless the person agrees or allows otherwise under its (pre)payment and cancellation policy to accept these terms and conditions of submitting their booking form. Please tick the appropriate box on completing the booking form. Your booking form will not be submitted until you have confirmed that you understand the booking and payment process.
If you wish to review, adjust or cancel your booking application, please revert to the confirmation email and follow the instructions therein. Please note that you may be charged for your cancellation in accordance with our policy, if the cancellation has been unauthorised within the time limitations or that we are unable to resell the space. A no-show policy means that no refund will be offered or that any entitled will be refused for any repayment of any (pre)paid amount. We recommend that you read the cancellation, (pre)payment and no-show policy carefully prior to submitting your booking application form. Anyone requesting a refund must accept that there will be an administration fee for a BACS transfer or cheque being issued at a rate of £15.00 + VAT. This will be deducted from the refund value automatically.
If you have a late or delayed payment and do not communication this forthwith to clarify the booking, then we will issue a late payment charge to the outstanding amount. Our customer service department can help you if you need assistance between 9am – 5pm – Monday to Friday but we do not accept any liability or responsibility for the consequences of your delayed communication to inform us of a change in your circumstances. By submitting the booking form, the person acting as the booking agent has accepted these terms and conditions in full and Red Hot Media, Marketing & Events Ltd can amend or change the terms and conditions without any prior notification.
Every effort will be made to ensure that we can find an alternative to the cancellation request but in the event of this not being an option, we will refund the balance less the fees incurred by us as a result of this process. Refunds are only available up to six weeks prior to the event taking place and subject to the resell of the space. We aim to refund the costs of the cancellation within six weeks of the event taking place. Any rejections of payment or cheques presented to us will automatically incur a £25.00 + VAT administration charge. Red Hot Media, Marketing & Events Ltd requests that every effort is made to liaise with us and to discuss any issues of concern as soon as possible.
We specifically request that any issues relating to a booking application should come to us via email or any queries by telephoning the number displayed on the website. Every enough will be made to accommodate the request, provided we have sufficient time to be able to resell the available space or that the period is within our cancellation period. All booking are taken on a first come, first serve basis and we will endeavour to ensure that we are able to liaise with the person or persons who are attending our events and resolve any outstanding queries to a satisfactory conclusion for all interested parties.
